Understand how access, conversations, and AI actions work before bringing your team into the workspace.
Access follows the workspace and the person.
Workspace membership, roles, and permissions determine what a person can read or change. Client and portal access can be scoped. Copilot uses the permitted request and knowledge context for the person asking, rather than treating workspace membership as access to every record.
Keep internal discussion internal.
Public replies and private staff notes are separate. Portal conversations show customer-visible updates. The forwarding workflow provides a preview of the outgoing conversation and excludes private staff notes.
Review a proposal before Copilot acts.
Copilot actions are proposed for review and confirmation. The service checks permission and the relevant state again before executing. Copilot access is enabled separately for a workspace and is not automatic for every new account.
Automations are a separate choice.
Workspace rules and AI settings control automatic assignment, notifications, analysis, and responses. Choose thresholds and supported actions deliberately. A Copilot confirmation does not mean all other configured automations require the same interaction.
Your portal, your access policy.
Portal administrators configure how requesters sign in, which providers or email domains are allowed, and whether anonymous submission is permitted. Domains must be verified. Files and ticket conversations follow the applicable portal and request access checks.
AI output still needs judgment.
Suggestions, summaries, and generated documents can be incomplete or wrong. Check sources and important details before relying on them. Finance and product workflows retain human review; assistance does not authorize spending or execute payments.
